Location: This is an on-site role working at our beautiful location in the village of Market Overton, Rutland.
Job Type: Part Time – 25 hours per week (08:30 – 13:30)
Working Pattern: Monday – Friday
Salary: £16,880 per annum (Pay Point 1 – £12.95 per hour)

The Lodge Trust CIO is a Christian charity based in Market Overton, Rutland, providing supported living, residential care, day opportunities, and work-based activities for adults with learning disabilities. Role Purpose –
As our People Operations & Reception Administrator, you will be the welcoming face of The Lodge Trust while providing high-quality administrative support across our People Operations function.
This varied role combines reception, HR administration, communications, and organisational support to ensure the smooth day-to-day running of our charity. You will help maintain accurate workforce records, support recruitment and onboarding, coordinate communications, and provide a professional first point of contact for staff, residents, families, visitors, and external partners.
Key Responsibilities –

Deliver a warm, professional and welcoming reception service for visitors, residents, staff and guests

Answer, screen and direct telephone calls, emails and enquiries promptly and professionally

Manage visitor sign-in procedures and support safeguarding requirements

Provide efficient administrative support including filing, scanning, printing, laminating, data entry and petty cash administration

Process incoming and outgoing mail, parcels and courier deliveries

Support recruitment and HR administration, including interview arrangements, employment packs, DBS applications and probation administration

Maintain accurate employee records within Breathe HR and Rotacloud, ensuring information remains up to date and compliant

Monitor office supplies and coordinate ordering when required

Create engaging posters, newsletters, notices and social media graphics using Canva or similar software

Support organisational communications, events, meetings and engagement activities across the charity

Assist residents with general enquiries, diary management, collecting post and other day-to-day reception support while promoting independence

Maintain accurate records and contribute to compliance with CQC, GDPR and organisational policies
What We're Looking For –

An organised and proactive administrator with experience in office administration or customer service

A confident communicator who enjoys providing excellent customer service both in person and over the telephone

Strong administrative skills with excellent attention to detail and the ability to manage multiple priorities

Experience using Microsoft 365, including Outlook, Word, Excel and Teams

Confidence maintaining confidential records and handling sensitive information appropriately

Experience supporting recruitment or HR administration would be advantageous

Experience using Breathe HR, Rotacloud or similar HR systems would be beneficial

Experience creating communications using Canva or similar design software would be desirable

A warm, patient and respectful approach when supporting adults with learning disabilities

Someone who is reliable, adaptable and able to work independently while contributing positively to a wider team

Someone who is comfortable working within and supporting the Christian ethos and values of The Lodge Trust
